RoboWave Transcriber Privacy Policy

Effective date: September 9, 2026 Last updated: September 23, 2026 Published by: RoboWave Technologies LLC

What this policy covers

This policy describes how the RoboWave Transcriber desktop application for Windows processes information. It applies to the application itself. It does not cover the Microsoft Store, which handles purchase and installation under Microsoft's own privacy statement.

Information the product processes

RoboWave Transcriber processes the media files you select and the folders you choose for output. When you add an audio or video file, the application reads that file, extracts its audio and converts the speech it contains into transcript text. That transcript text, and the subtitle, text, JSON and video files produced from it, are written to the output folder you choose. Speech in your media, and the transcript text derived from it, may contain personal information about you or about other people. The application also stores your own application settings, such as your chosen output folder and export options.

Where processing happens

All of this processing happens on your own device, on your computer's CPU. Speech recognition uses a speech model that is included in the installed application package. No transcription service, speech service or other online service is contacted, and your media files are not sent anywhere.

What is transmitted

Nothing. The application has no telemetry, no analytics, no crash reporting, no advertising identifier, no account system and no sign-in. It makes no network requests while transcribing or rendering. The speech model is included in the installation, so nothing is downloaded at first run, and the application does not download models, media tools or licence material at any time.

What is stored, where, and for how long

While a job runs, the application creates a working directory with a random name under your Windows user account's local application data folder, and writes temporary audio and job data there. Temporary audio is deleted after transcription. Job data is removed when the job completes, when you cancel it, or when it fails in a way the application handles. On startup the application also cleans up abandoned work older than 72 hours, which is how data left behind by a power loss or a forced shutdown is removed.

When the application is installed from the Microsoft Store, Windows keeps these files and your application settings in the application's private storage, %LOCALAPPDATA%\Packages\RoboWaveTechnologiesLLC.RoboWaveTranscriber_njdxpkb2y67by\LocalCache. They are kept when the application is updated and are deleted when you uninstall it. (If a %LOCALAPPDATA%\Robowave\Transcriber folder already exists on the PC, for example from an earlier version installed outside the Store, the application uses that folder instead, and Windows leaves it in place on uninstall; you can delete it yourself.) Files you exported or saved to your own folders are not affected by an update or an uninstall.

Logs and diagnostic files

The application writes local log files and can produce a diagnostic bundle for troubleshooting. These contain job, error and environment metadata only. They do not contain transcript text, extracted audio, keys or full source and output paths. They stay on your device unless you choose to send one to us for support, in which case you decide what to send.

Saved projects and exported files

If you choose to keep a project, the application writes a .robowave-project file. Each of these files is encrypted with AES-256-GCM using a fresh random key generated for that project. That key is wrapped with current-user Windows DPAPI and stored inside the project file, so the project can be opened only by the Windows account that saved it. Another Windows account, or a reinstalled Windows profile, cannot open it, and the application says so explicitly rather than failing silently.

The other outputs the application writes, that is TXT, JSON, SRT, WebVTT, ASS and MP4 files, are ordinary unencrypted files by design, so that other software can read them. Treat them as you would any other document on your computer.

Third parties

No third party receives your media, your transcripts, your logs or your settings from this application. The application discloses nothing to advertisers, analytics providers, model providers or anyone else.

The Microsoft Store handles your purchase, download, installation and updates. That relationship is between you and Microsoft and is governed by Microsoft's privacy statement, available at https://privacy.microsoft.com/privacystatement. The application itself does not send Microsoft any information about your use of it.

Your controls

  • You choose which media files to open and which folder each export is written to.
  • You choose between the two retention modes: keep an encrypted project file alongside your outputs, or produce final outputs only. Both remove plaintext working data after success, failure or cancellation.
  • You can delete any exported transcript, subtitle file, video or project file at any time, using Windows, because they are ordinary files in folders you chose.
  • You can uninstall the application at any time from Windows Settings. Uninstalling removes the application together with its settings and any unfinished review work. It does not remove outputs or project files you have already saved to your own folders.

Security

Saved project files use AES-256-GCM authenticated encryption with a fresh random 256-bit key and a fresh random 96-bit nonce per save, and no password-derived or custom cipher. The project key is protected by current-user Windows DPAPI, and the project's authenticated metadata is used as DPAPI entropy so a wrapped key cannot be moved into a different project file. Temporary working directories are created under your own user account with random names and, on a best-effort basis, with Windows ACL inheritance removed. The bundled media tools are run as separate processes with a local-only protocol whitelist and are built without network support.

Limits of this statement

This is a narrow operational statement about how the application behaves. It is not a compliance certification, and it is not a guarantee against malware, a compromised operating system, backups, paging, forensic recovery or legal process. Encrypting a saved project does not erase copies already written elsewhere and does not remove any legal obligation you may have. No secure-deletion claim is made, in particular for solid-state media, where deleted data may remain recoverable at the hardware level.

Children

RoboWave Transcriber is a general-purpose desktop utility. It is not directed at children, and it collects no information from anyone, including children.

If a future version of the application changes what it processes, stores or transmits, this policy will be updated before or alongside that release, and the "Last updated" date above will change.
